Meeting

Graham opened the meeting and welcomed all attendees and explained that Kris had attended to take the minutes only and had not been and would not be co-opted onto the committee.  He also apologised that the minutes of the previous meeting were not to hand and requested that these could be circulated and agreed by email after the meeting.  The committee agreed.

1.         Reserves and Volunteers Update

Chris Tyas gave a very interesting update on the progress at local reserves including Wallasea.

 

2.         RSPB Cold Calling

The RSPB have recruited an agency to carry out a door knocking recruitment campaign which is currently being carried out in this area.  It was stated that charities are exempt from the Cold Calling Banned Zones.  Graham expressed his disagreement with this scheme and asked the committee whether they also have the same misgivings.  The committee agreed and it was decided that their disapproval of this scheme should be noted in the minutes.

3.         Annual Newsletter

The price quote was acceptable and the newsletter is almost complete except for a forthcoming article on Rainham.  Drafts were circulated for proof reading and corrections are requested by 23 June.  It was stated that the RSPB logo should have the new strap line.  Russ agreed to do the new membership forms and stated there would be no price change as printing and postage is still covered.  The date for envelope stuffing was decided as Monday 21 July at the Civic Centre.  The feasibility of including our newsletter in the Wat Tyler run was discussed and rejected as the times are not compatible.

4.         Indoor Meeting Secretary

Despite all appeals for a volunteer still no-one has come forward for this vital role and so Richard has started work on the 2009/10 season.  The committee is grateful for his dedication.  It was decided that it may be more successful to approach individuals directly and ask them to accept this post.

5.         Coach Trips

Coach trips from the last season made £326 gross profit of which £40 was a donation from Keith & Sue Bentham.  It was decided that they should be thanked on behalf of the group.  Coaches for the next season are all booked but Cooks have increased their charges so it was formally agreed that these trips should now cost £12 a head

6.         Fund Raising

2 tin shakes have been arranged – Sat 16 August at Morrisons and Thursday 21 August at Sainsbury in Southend.  The next coffee morning at Rochford is Tuesday 14 October.

The group was invited to attend on the seafront for the Southend Air Show but conditions for inclusion were restrictive and it was felt that people would not be interested in joining the RSPB at this venue and any way birds and air craft do not make a good partnership so the invitation was declined.

Raffles at the indoor meetings and pin badge sales on the seal boat trips have been very successful.  It was stated that pin badges are harder to get now.  It was suggested that fluffy singing birds could be used as tombola prizes at events as these proved a very successful draw at the Spring Garden Show at Garons.  It was decided that these would be good for shows where there are children present but not useful for coffee mornings.  Volunteers are needed for the next August Bank Holiday Garden Show at Garons.

7.         Purchase of new Gazebo

The old gazebo had disintegrated and had to be disposed of so Graham asked the committee if they would approve the purchase of a new one to be used at outdoor events and shows.  He particularly requested the type that can be erected single handed.  The committee agreed and suggested that it be purchased now while they are in stock and not left until next needed

8.         AOB.

The Treasurer reported that the books are with the accountant and that there is £3197.99 in the charity fund.  The committee decided to donate £2500 to a local project.  It was decided that it should be minuted that the committee appreciate and thank Hilary for doing a very good job.

25th celebrations are proceeding.  Blenheim has been booked for Friday 19 December 2008, room and catering included but there will be no alcohol provided, people can bring their own.  Norwich, Wat Tyler and EWT are to be invited.

Meeting

Fiona Hazelton gave a presentation and update on the RSPB reserves at Vange and Canvey. The Group has around £2,000 to donate and would very much like to donate to one of the local projects but, despite the offer, no-one seems to want our money at this time!

Richard Hooker has stated that he wishes to step down as meetings secretary after the 2008/2009 season (which he has already booked). The committee thanked Richard for stepping in to this role and for all his work in providing an interesting and varied three seasons of talks. It is felt that due to Richards work the group membership has certainly increased and people have kept coming back to support our indoor meetings.

Peter and Ron updated us on fund raising. 100 club is now 7 short of the 100. Coffee mornings have been booked next year for the 22/04 and the 14/10. Another quiz night will be booked for early March 2008

Phil advised that we have 140 (household members), 63 have not renewed this year. This is offset by the fact that, at the last indoor meeting, 5 new people joined. All were as a result of the Wat Tyler team promoting the local group.

Coach trips are still going well although there have been a few people that have asked why we are not going further afield (due to cost of coach hire). Cath has asked that Sue and Keith Bentham are mentioned for their support of our coach trips as they regularly donate above the cost of the trip. This is very much appreciated by all.

  • All of the committee expressed an interest in attending the next 3 groups meeting in Chelmsford on the 11/01. We will car share as far as possible.
  • We will revisit the RSPB goods website with a view to selling items at our meetins.
  • Yasmine Hamid has resigned from the committee due to a heavy workload. We will miss her enthusiasm, ideas and, conservation expertise.

    1.          David Hedges gave a welcome presentation and update on the RSPB reserves at Vange and Canvey.
     
    2.          Treasurer stated that our bank balance was very healthy and we are looking to donate a further £2000 to an RSPB project.
     
    3.          Agreed that we should produce 600 copies of annual newsletter and we will book a room at the beginning of July to pack and distribute..
     
    4.          Graham announced that Steve Sanford had taken over the Field Trips organiser role, expressing the committees thanks to Jim Hillier for his many years of hard work planning the field trips. Steve has arranged next season’s trip noting the dates of the coach trips as to avoid double booking.
     
    5.          Peter has booked a tin shake for 5th May at Tesco, we have enough volunteers to cover the day. Ron and Peter are liaising on the next coffee morning on the 8th May
     
    6.          An enquiry has been received regarding the emergency procedures for the indoor meeting hall. Group leader will mention this and point out fire exits and meeting point(s) at next meeting.
     
    7.          The last quiz night was well attended resulting in a profit of £115 after expenses. It is planned to book others in July and October.

    Minutes of the committee meeting held on 3rd of July 2007

     

    Russ Payne presented the finished newsletter of which 600 copies have been produced.  Committee members helped pack. Committee recognises Russ's excellent and much appreciated work in regards to the newsletter. Ron provided printed copies of a 100 club flyer to be inserted.

     

    Hilary presented the latest accounts which were in a healthy condition. After newsletter costs have been taken, we may be able to donate some more funds in the near future.

     

    The South East Essex RSPB group has agreed to attend various summer events.  It was noted that Group Leader and others were manning our stand and therefore, at this point, no other volunteers were needed. Evening talks are still being booked and carried out by Group Leader.

     

    Mark Outen, the new in post Essex Reserves Warden was welcomed and gave a very welcome update to the group on  Wat Tyler, Vange and Canvey reserves.

     

    The group leader advised that he had sent the annual report to the Lodge.

     

    Fund raising was discussed and it was felt that the group with its present activities are raising enough funds without having to explore extra volunteers to this role at this time. Peter is arranging further supermarket tin shakes for next year. A certificate from The Lodge was presented congratulating the group for raising £1,500 in the last period and a further £2065.61 from pin badges.

     

    Group leader gave an update on our website which is still proving popular with visitors.  Giving June as an example, it was shown that there were 51,852 user sessions in this month.  the latest sightings page being the most popular followed by the webcam pages. A brief explanation of the launch of a personal blog was given.

     

    Cath gave an update on coach prices which unfortunately have risen further this year.  Group leader has asked that comparison quotes be obtained from other companies.  The committee feels reluctant to raise the coach price from £11 but this is a possibility that may need to be explored in the new season.

     

    The date of the next committee meeting has been set for the 11th of September.

    Agreements & Achievements

    1. Graham welcomed Hilary Le Marie as our new Treasurer; she is scheduled to attend a Treasures Induction Day on 6 May with the RSPB. Stephen is yet to formally reconcile last year’s accounts and hand them over to Hilary.

    2. Group will produce this year’s newsletter, including a folding programme card. It will be A4 and 400 copies are to be printed along with 250 programme cards, with some colour if costs allow.

    3.Cath has arranged next season’s Coach Trips: Minsmere 24 September 06, Elmley & Cappel Fleet 26 November 06, London Wetland Centre 11 February 07, Weeting & West Stow 22 April 07 and Minsmere 20 May 07.

    4. Graham announced that Steve Sanford had taken over the Field Trips organiser role, expressing the committees thanks to Jim Hillier for his many years of hard work planning the field trips. Steve has arranged next season’s trip noting the dates of the coach trips as to avoid double booking.

    5. The recent Tin Shake at Tesco’s colleted a group record amount of £310. Peter expressed his thanks to all those who took part in achieving this milestone.

    6. Graham proposed that there be two prizes in the Brent Goose Photographic Competition due to the quality of the entries. 1st prizes went to Norman Wyatt and 2nd was Steve Lindell.

    7. The web cam at Wat Tyler has been installed and fully functioning. There will be a feed into the group’s web site as from 11th April. This will allow visitors to the site to view pictures from one of the six cameras that transmit back to the RSPB barn at Wat Tyler.

    8. A possible new venue for next season’s evening meetings has been identified, Blenhiem School. There is plenty of car parking and other facilities that make this site attractive.

    9. Quiz nights have so far raised £200 with one remaining quiz to take place.

    10. Michelle has contact 67 business organisations regarding the showing of the RSPB DVD, she will follow up on those who have shown interest. Thomas More School have contact her and would like a presentation to the school, which Michelle has never done before. Paul suggested that she contact the South Essex RSPB team for assistance. The Michelle had with the Deputy Headmaster at St Thomas Moore High School on 2nd March 2006 concluded with the deputy Headmaster advising that he would contact her regarding possible dates for a guess speaker. Michelle will try to contact various people regarding the in's & out's & the best approach in doing a presentation.
